About Elder Abuse Prevention Ontario (EAPO)

EAPO is a registered provincial charity recognized for its leadership in elder abuse prevention—advocating for and protecting the human rights of older persons, which are violated with each incident of elder abuse. Since 2002, EAPO has focused on tackling the pervasive rise in ageism—the root cause of elder abuse—while implementing the Ontario Strategy to Combat Elder Abuse (the first of its kind in Canada). Through community coordination, public education and awareness forums, and tailored training for service professionals, EAPO strengthens the capacity of individuals, community-based senior-serving agencies, networks, and system partners to recognize, respond to, and support older adults at-risk of or experiencing abuse.

We envision an Ontario where all seniors live free from ageism and abuse, and where their human rights are advanced, protected, and respected. Guided by a trauma-informed approach and a prevention lens, EAPO’s work supports the quality of life, older adults deserve.

Role Overview

The Administration & Operations Associate plays a critical role in maintaining operational efficiency and organizational excellence. Reporting to the CEO, the Associate provides high-quality administrative and operational support to the team—including financial and technical tasks—enabling the successful fulfillment of deliverables under government contracts, external project partnership agreements, and EAPO’s Strategic Priorities.

This role is ideal for a highly organized, detail-oriented professional with strong administrative and project management skills who thrives in a fast-paced, mission-driven environment and is passionate about advancing the human rights of older persons.

Key Responsibilities

Executive, Board & Governance Support


• Provide direct administrative support to the CEO, senior leadership, and Board as requested.


• Serve as Recording Secretary: schedule meetings, prepare and distribute agendas, minutes, and supporting documentation; track and follow up on action items.


• Maintain organizational activity calendars and track key dates, events, and deadlines.

Operations & Information Management


• Maintain master files and filing systems (manual and electronic), ensuring integrity of legal and financial documents prior to archiving in Google Drive.


• Support implementation of data security, storage, and information management protocols, including database builds and ongoing management.


• Carry out, document, and continually improve standard operating procedures (Office Procedures Manual).


• Manage office systems (IT/communications, supplies) and preferred vendor relationships.

Communications & Public Outreach


• Act as an ambassador for public outreach: monitor main phone lines, voicemail, administrative email inboxes, and Google forum posts; triage inquiries and redirect to appropriate staff.


• Maintain inventory of printed collateral and swag; coordinate printing and production with external vendors to fulfill orders and maintain stock levels.

Events & Conference Support


• Support planning and execution of events, trainings, and conferences (virtual and in-person), including logistics, occasional travel arrangements, materials preparation and dissemination, and onsite/virtual delivery support.

Finance, Contracts & Compliance


• Assist with accounts payable/receivable, bank deposits, invoicing, and expense reconciliations; maintain accurate registers of financial activity, contract execution deadlines, and insurance coverage/liability.


• Support budget tracking, reporting, and financial compliance using QuickBooks and Excel.


• Monitor reporting templates and intake forms (e.g., education/training requests) to ensure timely compliance with reporting obligations.

Digital & Web Support


• Assist with website updates and digital content maintenance as required.
• Provide basic support across digital platforms and tools (e.g., Zoom,

SurveyMonkey, Canva, Constant Contact, CRM/database).

Other


• Perform other duties as assigned to support organizational effectiveness and strategic goals.

Qualifications, Skills & Attributes

Education & Experience


• 7–10 years of progressive administrative experience, ideally within non- profit or charitable sectors.


• Post-secondary education in Business Administration, Financial Management, HR, or a related field; or an equivalent combination of education and experience.


• Familiarity with elder abuse, intimate partner violence (IPV), issues affecting seniors and diverse communities, and sensitivity when responding to seniors in distress or seeking assistance.

Technical Proficiency


• High proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Windows-based systems; MAC familiarity an asset.


• Experience with QuickBooks, CRM/database management, and digital platforms including Zoom, SurveyMonkey, Canva, Constant Contact; basic graphic design skills an asset.

Communication & Organization


• Exceptional written and verbal communication skills.
• Demonstrated excellence in organization, time management, and attention

to detail; ability to prioritize and meet deadlines in a fast-paced environment.

Additional Assets


• Valid Ontario driver’s license with access to a reliable vehicle ( an asset).
• Fluency in languages in addition to English.

Compensation, Benefits & Perks


• Salary: $60,000–$65,000 (commensurate with experience).
• Comprehensive benefits package (health, dental, wellness) plus pension

plan contributions.
• Generous vacation allotment; paid office closure December 20 – January

5, 2026; and, operations permitting, reduced summer hours.
