Administration and Communications Coordinator

OMDREB is a member-based real estate association serving approximately 800 members in the Oakville, Milton and District area. We are looking for an organized, service-oriented coordinator who thrives on variety — someone who takes ownership, exercises good judgment, and can support our team with minimal direction.
This generalist role spans administration, membership services, and communications support. If you are proactive, have a member-first mindset, and communicate with clarity and professionalism, we want to hear from you.
WHAT YOU'LL DO
Administration (⅓)
• Meeting logistics & minutes
• Maintain office records
• Invoice & budget support
• Event coordination
Membership Services (⅓)
• Application processing
• Member records & billing
• Quarterly reconciliations
• New member orientation
Communications (⅓)
• Templated drafting
• Email blasts & newsletters
• Website & social media
• Content calendar support
WHAT YOU BRING
Skills and Experience
- 3–5 years in an administrative, membership services, or communications support role
- Background in a not-for-profit association or member-based organization is an asset
- Comfortable with membership management software or CRM systems — and willing to learn new ones
- Strong organizational skills with the ability to juggle competing priorities
- Sound judgment and a calm, professional manner when handling member inquiries
- Exceptional written communication — clear, professional, detail-oriented as well as the ability to proofread.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual collaboration tools
- Canva, Google Slides, or other design tools are a bonus
