Position Overview

We are currently seeking motivated and detail-oriented volunteers for the role of

  • Admin Coordinator (Volunteer)

This role is essential in supporting the daily administrative operations of our organization and ensuring smooth coordination of programs, events, and internal communications.

Key Responsibilities

Admin Coordinator (Volunteer)

The Admin Coordinator plays a key leadership support role, ensuring strong organizational structure, communication flow, and administrative efficiency across all departments.

Key Responsibilities:

1. Executive & Meeting Coordination

  • Work directly with the CEO and COO to support daily administrative operations
  • Create and manage Microsoft Teams meeting links for internal and external meetings
  • Schedule, coordinate, and organize meetings across all departments
  • Maintain a master calendar of organizational meetings and events
  • Send reminders and follow-ups to ensure participation and accountability

    2. Minutes & Documentation Management

  • Take detailed and accurate meeting minutes during all leadership and department meetings
  • Distribute minutes for review and ensure proper approval and finalization
  • Maintain organized records of all approved minutes for documentation and reference

    3. Email & Communication Management

  • Manage the organization’s administrative email inbox
  • Respond to or redirect parent inquiries and general communications professionally and promptly
  • Ensure clear communication flow between departments, leadership, and external stakeholders
  • Prioritize and organize emails based on urgency and importance

    4. Department Coordination

  • Schedule and facilitate monthly meetings with each department
  • Support communication and alignment between departments
  • Track departmental updates, deliverables, and timelines

    5. Event Administrative Support

  • Prepare and organize all administrative materials before events (forms, schedules, checklists, participant lists, etc.)
  • Coordinate with program and event leads to ensure readiness from an administrative standpoint
  • Ensure all documentation is completed and organized before event execution

    6. Reporting & File Management

  • Collect and organize monthly reports from each department
  • Maintain structured documentation on OneDrive for easy access and tracking
  • Ensure consistent filing systems, naming conventions, and version control

Qualifications

  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Proficient in Microsoft Office / Google Workspace
  • Ability to work independently and as part of a team
  • Detail-oriented and reliable
  • Previous administrative or coordination experience is an asset but not required
  • Passion for community service, youth development, or nonprofit work
