Time Commitment: Approximately 10 hours per week
Reports To: Admin Coordinator (Primary) | CEO & COO (Secondary oversight)

Position Overview
We are seeking a reliable, organized, and motivated Admin Assistant (Volunteer) to support the Admin Coordinator in daily administrative operations. This role is essential in ensuring smooth communication, documentation, and coordination across the organization.
The Admin Assistant will also be expected to step in to support core administrative functions in the Admin Coordinator's absence, ensuring continuity of operations.
Key Responsibilities
1. Administrative Support
- Assist the Admin Coordinator with daily administrative tasks
- Support the scheduling of meetings and the preparation of meeting materials
- Help organize documents, forms, and internal records
2. Meeting & Communication Support
- Assist in creating Microsoft Teams meeting links when needed
- Help with sending meeting reminders and follow-ups
- Support communication between departments and leadership
3. Email & Inquiry Support
- Assist in monitoring and organizing the administrative email inbox
- Support responses to general inquiries and parent communications
- Escalate important matters to the Admin Coordinator or the leadership team
4. Documentation & Filing
- Assist in taking meeting notes when required
- Help organize and upload documents to OneDrive
- Support filing and maintaining structured digital records
5. Event Administrative Support
- Assist in preparing administrative materials for events (forms, lists, schedules, etc.)
- Support coordination of logistics before and during events
6. Backup Responsibility (Coverage Role)
- Step in to support key administrative duties when the Admin Coordinator is unavailable
Assist in maintaining continuity of:
- Scheduling and meetings
- Email communication
- Document organization
- Basic coordination tasks
Qualifications
- Strong organizational and multitasking skills
- Good written and verbal communication
- Familiarity with Microsoft Office / Google Workspace (preferred)
- Willingness to learn Microsoft Teams and OneDrive
- Ability to follow instructions and work in a team environment
- Reliable, responsible, and detail-oriented
- Interest in nonprofit work and community service
