Title
Accreditation Coordinator
General Responsibility
The Accreditation Coordinator plays a key coordination and operational leadership role in CASWE-ACFTS's accreditation functions, facilitating the work of the Commission on Accreditation (COA) and supporting the effective implementation of accreditation processes for Canadian social work education programs.
Reporting to the Executive Director, the Accreditation Coordinator works in close collaboration with the COA Co-Chairs, supporting their leadership of the Commission and providing guidance and support to academic units throughout accreditation processes. The Coordinator oversees and coordinates accreditation activities and processes, supports the implementation of COA decisions, and serves as a key liaison among the COA, academic units, accreditation teams, and the CASWE-ACFTS office.
The position may also support the coordination and implementation of accreditation-related activities, including site visits and other accreditation review processes, as required.
This is a remote position requiring collaboration with staff, Commission members, academic units, and other stakeholders across Canada. Some flexibility in working hours may be required to accommodate different time zones and accreditation activities. Periodic travel within Canada is required, including for CASWE-ACFTS's annual conference and AGM, COA meetings, site visits, and other accreditation-related activities as necessary.

Qualifications
- MSW or equivalent.
- English/French fluency.
- Two years’ experience preferably in social work administration.
- Capacity for taking the initiative and working independently.
- Ability to work as part of a team.
- Capacity to work with confidential information
- Excellent organizational skills and attention to detail.
- Excellent time management and task prioritization capacities
- Excellent oral and written communication skills.
- Demonstrate judgment and critical analysis
- Computer competency and knowledge of current technology and software (ie. Internet, Office).

Supervisor
- The Accreditation Coordinator reports to the ED regarding duties and responsibilities, and work performance.
Main Functions
- Administration and management of accreditation material, processes and activities
- Contribute to the ongoing development and evolution of CASWE-ACFTS’s accreditation framework through policy development, the review and revision of accreditation procedures, and work related to emerging areas of accreditation.
- Coordination and support of the Commission on Accreditation (COA), including support to the COA Co-Chairs in their leadership roles. Continued guidance and support to institutional members after they have been accredited, and to academic units seeking accreditation
- Support and organization of COA activities, including site visits and accreditation related reviews
- Record keeping, data and archival management related to accreditation.
- Web updates and accessibility of COA information and publications.
- Other duties as required.
Accreditation Coordinator: Detailed Duties Expected to Perform
Administration and Management of Accreditation Material and Activities
- Maintains the annual accreditation cycle, archives and, all supporting documentation.
- Maintains an accurate virtual record-keeping system for all Accreditation operations including archives.
- Develops and maintains resources for frequently requested information.
- Prepares and edits correspondence (bilingual).
- Provides specific information to social workers and the public and responds to general enquiries (in consultation with the ED and co-chairs as necessary).
Policy, Procedure and Accreditation Development
- Contribute to the development, review, and revision of accreditation policies, procedures, guidelines, and related resources, in collaboration with the Executive Director, COA CoChairs, and other relevant bodies.
- Conduct research and analysis on emerging issues, trends, and developments in accreditation and social work education to inform policy and procedural development.
- Support the development of approaches, procedures, and recommendations for new or emerging areas of accreditation, including new program types and accreditation requests that fall outside existing processes or frameworks.
- Prepare background materials, options, and recommendations to support consideration and decision-making by the COA and/or Board, as appropriate.
Support to COA Co-Chairs
- Works collaboratively with the COA Co-Chairs to provide coordination and operational leadership for the work of the Commission.
- Supports the Co-Chairs in planning, prioritizing, and advancing the COA's work and accreditation activities.
- Liaises regularly with the Co-chairs about Accreditation priorities, emerging issues, timelines and planning.
- Provides continuity and coordination between COA meetings by monitoring activities, priorities, decisions, and required follow-up.
- Identifies operational issues and brings forward recommendations or proposed approaches to the Co-Chairs as appropriate.
- Provides administrative support to Co-chairs, for example, correspondence, archival material and information as requested.
- Drafts preliminary agendas.
- Takes minutes at COA meetings.
- Attends COA meetings and other relevant meetings with Co-Chairs .
Support and Organization of COA Activities
- Maintains the annual cycle of accreditation activities.
- Plans and organizes the COA meetings in consultation with the COA Co-Chairs and the ED.
- Provides support and information to COA members.
- Receives applications from candidates wanting to join the COA
- Maintains contact with COA members.
- Plans, develops and maintains systems for follow-up for various issues and COA meeting decisions.
- Liaises with COA’s contact with the Educational Policy Committee (EPC) as necessary.
- Sits on the Educational Policy Committee (EPC)
- Updates standardized letters and templates for Accreditation.
- Sends certificate of accreditation to institutional members and academic units
- Updates and mails the COA Manual as required.
- Prepares two semi-annual summaries of COA activity in collaboration with the Co-Chairs.
- Supports continuity and institutional memory within the COA by maintaining awareness of previous decisions, practices, and precedents, and identifying and providing relevant historical records and documentation to inform the Commission’s work.
Record Keeping and Archival Management
- Logs all incoming and outgoing accreditation correspondence in the appropriate accreditation log, and virtual filing system: Letters, self-studies, readers’ reports and site visit reports, agendas and minutes.
- Retrieves information prior to each new accreditation cycle, keeping track of correct and updated accreditation timelines for all schools.
- Up-dates the accreditation filing system on an ongoing schedule.
- Archives past documents and maintains index of archives
- Responds to requests for access to archival data from COA members, schools, researchers and other constituencies.
Service to Schools
- Provides support to schools during the accreditation process.
- Attended Deans and Directors meetings, alongside COA Co-Chairs
- Provides information on the School’s accredited status to Deans, Directors and Schools, faculty, students/potential students, and provincial associations.
- Notifies schools of upcoming accreditation deadlines.
- Informs schools of changes in policies, standards and procedures.
- Informs schools of COA decisions.
- Maintains accurate data and directory of schools’ programs and status.
Updates to Documents, Web Site and Implements Bilingual Policy
- Reviews, co-ordinates and implements changes to all accreditation documentation, manuals, and procedures to maximize clarity and accessibility.
- Ensures web site reflects COA decisions and updates bi-monthly or as required. Ensures that information for updating the web site is given to the communications Coordinator in a timely and accurate manner.
- Supervises translation of material, follows-up development of Lexicon of terms for translation purposes.
- Acts as French/English Editor to support CASWE’s mandate as required.
- Provides proof-reading of all materials (English and French).
- Ensures that COA materials are published in French/English (in consultation with the ED).
Other
- Other tasks required.
- Support to CASWE overall operations and activities (Conference, AGM, joint projects) as needed
