About CDAC:

The number ONE job of The Commission on Dental Accreditation of Canada is to ensure the quality and safety of oral health care through standards, accreditation, and continuous improvement. The CDAC is the body responsible for accrediting dental, dental specialty, dental residency, dental hygiene, and dental assisting education programs in Canada.

The Accreditation Coordinator will provide administrative support for various activities including surveys, committee meetings and support of oral health education programs throughout the accreditation cycle. The coordinator will work closely with the Accreditation Specialist(s).

Dynamic Coordinator – you will be supporting the accreditation team making sure they have the information they need to make informed decisions. You will provide administrative and full coordination support to the team.

Independent – you are self-motivated and manage your time well. As the key go to person for the accreditation team support, you must be able to organize and reorganize your day to meet often conflicting priorities and deadlines.

Your Responsibilities

Contributes to CDAC Accreditation Surveys

  • Provide assistance, as required, for the development of the survey timetable.
  • Organize and coordinate logistics related to surveys such as reserving travel and hotels for surveyors and staff.
  • Provide support as needed to the Accreditation Specialist to ensure seamless support of oral health education programs through the accreditation processes.
  • Pre-survey documentation:
    • Ensure all program presurvey documentation is received according to defined parameters.
    • Coordinate the flow of survey related documentation between the program and CDAC.
    • Upload all survey-related documentation to various Teams sites or other sites, as necessary.
  • Prepare survey report template for each survey.
  • Review draft survey reports for grammar and punctuation.
  • Provide an orientation to surveyors, when required, specifically related to where documents are located, or questions related to logistics/travel.
  • Assist with survey planning for following year:
    • Coordinate communication with programs re: dates.
    • Prepare calendar with dates once confirmed.
  • Provide coordination for progress reports:
    • Send communication to all programs of progress reports due.
    • Enter summary of progress reports on Reviewer Sheets for all committees.
  • Coordinate and schedule meetings, including accreditation review meetings.

Committees

  • Coordinate logistics related to committee meetings both in person and virtual.
  • Enter summary of progress reports on Reviewer Sheets for all committees.
  • Ensure all information is prepared and disseminated to meeting participants.
  • Attend meetings and takes minutes.
  • Disseminate related correspondence on behalf of accreditation specialists to committee members as needed.
  • Make travel/accommodations arrangements for Committee and members.

Communication

  • Monitor the general inbox, respond when appropriate and triage emails to appropriate staff member.
  • Respond when appropriate to general inquiries from educational programs, stakeholder groups and the public and triage questions when needed to appropriate staff member.
  • Coordinate all translation needs.
  • Maintain accurate program accreditation records.
  • Maintain and update spreadsheets and databases as needed.
  • Create or compile summaries/reports.
  • Prepare correspondence or presentations.
  • Distribute annual program survey to programs, receive and collate responses.

Other

  • Contribute to cross-organisation projects as required.
  • Engage in team collaboration and operational planning.
  • Assist in training of new staff members.
  • Process surveyor, expenses according to approved expense policies.
  • Manage annual grant /fee charts according to approved fees.
  • Disseminate invoices and process payments related to accreditation fees from programs or granting organizations.
  • Manage website updates related to accreditation processes / information.
  • Other duties as may reasonably be required.

What makes you the ideal candidate?

  • A college diploma or equivalent relevant experience
  • Bilingual is a strong asset and preferred
  • You are located in Ottawa or the surrounding area
  • A minimum of three (3) years’ experience in office administration
  • Excellent verbal and written communications skills.
  • Experience with committees and the coordination of meetings.
  • Experience coordinating travel logistics.
  • Experience with taking meeting minutes (would be considered an asset).
  • Possess superior skills in Microsoft Office Suite.
  • Possess a knowledge of the accreditation process (would be considered an asset).
  • Ability to work in a small team to achieve common goals.
  • Ability to multi-task while maintaining an above average attention to detail.
  • Ability to follow-through on tasks and assignments.
  • Have exceptional interpersonal skills.
  • Are willing to learn and have a growth mindset.

Work Environment

  • Physical Demands: Must be able to sit for extended periods, use a computer, and occasionally lift office supplies up to 10 pounds.
  • Work Conditions: Hybrid work environment (mixture of home and office).
