The opportunity

We’re the first and only 24/7 e-mental health service in the country and a global leader in innovation for youth and their well-being.

Kids Help Phone is looking for an Accounts Payable Specialist to join our team in our Toronto Office. Reporting to the Financial Accountant, Finance & Operations ,the successful candidate will play a key role in helping us achieve our mission of providing support to youth through virtual care and e-health solutions.

Key Responsibilities

  • Processing, managing all invoices that come in through the Accounts Payable inbox
  • Responsible for proper record management: organize retention of documents for quick reference and audit support
  • Client support: timely and professional follow-up with internal clients and vendors for all queries including late or missing payments
  • Ensuring coding rules are followed
  • Following up on any unpaid invoices, responsible for making sure everything is paid and following up on outstanding items
  • Assist with the annual audit of locating invoices and invoice vouching
  • Download monthly invoices from vendor portals
  • Process employee expense claims, ensuring proper receipts, coding and tax calculations. Maintain and ensure employee expense account balances
  • Calculating the appropriate tax rebates for supplier invoices
  • Arrange disbursement of cheques, obtain appropriate signatures and file related paper work for all expenditures
  • Reconcile corporate MasterCards on a monthly basis and record into accounting system and ensure GL accounts are reconciled
  • Provide orientation and training to new employees on invoice processes
  • Assist with the preparation of bank reconciliations
  • AP reconciliation to subledger
  • Arrange cheque disbursements and/or EFT payment file
  • Set up new vendors, includes performing call back verification
  • Managing access to AP system/tool (granting new employee access, deleting leavers and changing approvers if reporting line changes)
  • Providing assistance to team members if they have questions about the process, invoicestatusor coding
  • Investigating any connection errors

Required skills & Experience

  • Minimum of 3 years Accounts Payable experience in a similar environment
  • Min diploma in Business Admin or relevant program
  • Experience working with A/P software and accounting ERP system
  • Strong attention to detail and highly organized
  • Superior multi-tasking and prioritizing capability
  • Effective time management skills.
  • Excellent interpersonal, client-centered mindset, written and verbal communication skills
  • Collaborative and empathetic team player
  • Accounting/Finance knowledge/experience an asset
  • Strong knowledge of Microsoft Outlook and Excel
