The Role:
The General Accounting Coordinator is responsible for administering a variety of financial processes to ensure the organization’s finances are maintained in an effective, accurate, and compliant manner. This role works closely with the Finance team and other internal stakeholders, supporting the full cycle of financial transactions, payroll administration, and receivables management.
What your Day Looks Like:
- Process day-to-day financial transactions, including verifying, classifying, computing, posting, and recording data related to invoices, expenses, and receivables.
- Complete payments and control expenses by receiving, processing, verifying, and reconciling invoices; ensure all approvals and supporting documentation are complete.
- Charge expenses to accounts and cost centers by analyzing reports and recording entries.
- Monitor discount opportunities, verify tax registration numbers, and resolve discrepancies in contracts, invoices, or payments.
- Support month-end close processes and follow up on outstanding bills.
- Collaborate with other departments to ensure accurate categorization and consistency with organizational policy.
- Review and process employee expenses for payment in accordance with company policies.
- Update and reconcile sub-ledgers to the general ledger.
- Ensure compliance with tax legislation for non-residential payments.
- Maintain accounting ledgers and reconcile monthly statements.
- Process accounts receivable and collections, including preparing and posting invoices, following up on outstanding balances, and applying collection best practices.
- Generate financial statements and reports detailing receivables status.
- Reconcile accounts receivable ledgers and ensure all payments are properly posted.
- Prepare invoices, bank deposits, and process credit card payments.
- Analyze aging of receivables and identify risky accounts.
- Review and recommend control measures to mitigate risk of fraud and phishing.
- Respond to employee requests and inquiries for payroll issues in a professional and timely manner.
- Complete payroll analysis, budgeting, and participate in annual financial audits.
- Ensure remittances to benefit providers and government agencies are completed accurately and on time.
- Manage year-end payroll activities, including reconciliation and production of required documents.
- Audit payroll registers prior to transmission.
- Maintain historical records and ensure legislative compliance.
- Research best practices and recommend process improvements.
- Other duties as required.
What you Bring to the Role:
- University or College education in accounting, finance, payroll, or a relevant discipline.
- Minimum 3 years of experience in bookkeeping, general accounting support, receivables, and payroll administration.
- Professional certification or progress toward CPA or PCP is an asset.
- Superior Excel skills and proficiency with accounting software (e.g., ACCPAC+, Sage, ADP Workforce Now, Amilia, Stripe).
- Strong problem-solving, organizational, and communication skills.
- Ability to maintain confidential information and uphold privacy standards.
- Ability to meet strict deadlines and prioritize among multiple demands.
- Detail-oriented and able to work effectively in a team environment.
