Daybreak Housing is a community-based non-profit organization providing safe, affordable, and supportive housing to individuals who have experienced homelessness or housing instability. We are looking for an organized, detail-oriented finance professional who enjoys balancing numbers with meaningful work. If you are passionate about supporting a mission-driven organization while ensuring strong financial stewardship, we'd love to hear from you.

About the Role

Reporting to the Executive Director and working closely with the Virtual Controller, the Bookkeeper & Operations Support is responsible for the day-to-day financial operations of the organization. This position plays a key role in maintaining accurate financial records, supporting fund accounting, ensuring compliance with funding agreements, and contributing to the financial sustainability of a growing supportive housing organization.

Key Responsibilities

Financial Management

  • Maintain complete and accurate financial records in accordance with non-profit accounting standards.
  • Perform full-cycle bookkeeping, including accounts payable, accounts receivable, general ledger maintenance, and bank reconciliations.
  • Process resident rents and maintain accurate rent records, including monitoring arrears.
  • Record and reconcile credit card transactions, expense claims, mileage, and other financial transactions.
  • Ensure all transactions are accurately coded by program, funding source, and cost centre.

Financial Reporting

  • Complete monthly reconciliations and support the month-end close process.
  • Assist with preparing monthly, quarterly, and annual financial reports, including:
    • Budget vs. Actual reports
    • Income Statements
    • Balance Sheets
    • General Ledger reports
  • Prepare journal entries and supporting documentation for year-end activities.

Fund Accounting & Compliance

  • Track revenues and expenditures across multiple funding sources.
  • Maintain fund accounting to ensure restricted funds are used in accordance with funding agreements.
  • Assist with financial reporting requirements for funders, auditors, and the Board of Directors.
  • Support data collection for municipal and provincial reporting requirements and audits.

Payroll & CRA Compliance

  • Process payroll or coordinate payroll services with external providers.
  • Prepare statutory remittances including CPP, EI, and income tax.
  • Maintain payroll records and employee benefit information.
  • Prepare and submit required CRA documentation.

Audit & Internal Controls

  • Prepare reconciliations, working papers, and supporting schedules for the annual audit.
  • Maintain organized, audit-ready financial documentation.
  • Support the implementation and maintenance of financial policies and internal controls.

Charitable Receipting

  • Administer charitable donation receipting in compliance with Canada Revenue Agency requirements.
  • Maintain accurate donor records and reconcile donations with financial records.

Operational Support

  • Support general office administration.
  • Track renewals for insurance, leases, memberships, contracts, and other organizational agreements.
  • Identify opportunities to improve financial processes, increase efficiency, and support automation.

What You Bring

Required Qualifications

  • Diploma or degree in Accounting, Finance, or a related field.
  • Two to five years of bookkeeping experience, preferably within a non-profit or publicly funded organization.
  • Experience with full-cycle bookkeeping.
  • Strong proficiency using QuickBooks and Microsoft Excel.
  • Excellent organizational skills and exceptional attention to detail.
  • Excellent communication skills.
  • Ability to manage multiple priorities while meeting competing deadlines.

Assets

  • Experience with fund accounting.
  • Experience working with multiple funding agreements.
  • Knowledge of Ontario municipal housing programs or publicly funded organizations.
  • Experience in supportive housing, homelessness services, health care, or community services.
  • Ability to communicate in English is essential; French is an asset.
