Position Summary

The Senior Manager, Donor Data and Operations will serve as a strategic and operational leader who is responsible for driving forward the Toronto Public Library Foundation’s (TPLF’s) fundraising strategy and data analytics to support operational excellence. This role ensures that fundraising data is accurate, accessible and actionable, and provides insights and recommendations to help the organization to make informed, data-driven decisions that strengthen donor engagement and maximize fundraising performance.

Reporting to the Vice President, Operations and Governance, the Senior Manager will oversee the organization’s fundraising database, lead fundraising analytics and develop scalable data systems, processes, and governance that support organizational growth. The role will also lead the organization’s full adoption of Raiser’s Edge NXT as Blackbaud phases out Raiser’s Edge, ensuring a smooth transition and ongoing optimization of the system.

This position serves as a strategic partner working cross-functionally across the team translating data into meaningful insights while building the infrastructure needed to support future fundraising initiatives.

Key Responsibilities

Fundraising Data Strategy & Infrastructure

  • Develops and executes a comprehensive fundraising data strategy aligned with organizational goals
  • Designs, builds and continuously improves a scalable fundraising data infrastructure that supports current and future business needs, working with internal stakeholders and external vendors and agencies
  • Establishes and maintain data governance standards, business rules, documentation, and best practices to ensure high-quality, trusted data

Database Management & Fundraising Operations

  • Provides strategic oversight and administration of the organization’s fundraising database, Raiser’s Edge NXT, ensuring its accuracy, integrity, security, data hygiene and compliance with charitable regulations and accounting standards.
  • Leads all aspects of fundraising operations, including gift processing, donor records management, coding standards, timely acknowledgements, imports, exports, and system administration; manages complex gifts and commitments, as needed.
  • Manages integrations between fundraising systems and finance, marketing and digital platforms, working with agencies/vendors as needed.
  • Works closely with Toronto Public Library’s Accounting department and with TPLF’s Director, Finance and Operations to support the preparation of monthly, quarterly and annual financial reconciliation and reports, as well as, the annual T3010 report for CRA.
  • Works closely with TPLF’s philanthropy, donor experience and marketing teams to design, manage, deploy and track progress of cultivation, acquisition, growth, and retention strategies.

Analytics, Reporting & Business Intelligence

  • Develops and maintains a comprehensive reporting system including dashboards and custom reports, to support financial, fundraising and operational planning, analytics and reporting.
  • Analyzes fundraising performance, donor behavior, pipeline health, campaign effectiveness, and revenue trends to translate complex data into clear insights and recommendations, to maximize revenue and strengthen donor relationships.

Technology Leadership & Raiser’s Edge NXT Adoption

  • Leads the organization’s full adoption of Raiser’s Edge NXT as Blackbaud phases out Raiser’s Edge, including implementation of new features, testing, change management and optimization
  • Develops training materials and provides ongoing support to maximize adoption and effective use of the platform.
  • Supports the evaluation and adoption of new fundraising technologies and integrations into Raiser’s Edge NXT that strengthen the organization’s systems and processes.

Team & Stakeholder Engagement and Management

  • Manages staff and volunteers responsible for donor relations, database and operations, as appropriate; performs semi-annual and annual performance evaluation; inspires and motivates direct reports; provides constructive feedback and support as needed.
  • Leads vendor relationships related to CRM systems and data tools as well as identifies new ways to optimize systems, training and pricing.
  • Develops project plans, timelines, budgets, and risk mitigation strategies as related to donor data and operations; and supports the team in the preparation of tech-related budgets and projections.
  • Trains the team and volunteers on Raiser’s Edge NXT, and any integrated technologies, e.g. Luminate Online, as needed.

Qualifications & Competencies

Education & Experience

  • Minimum of 7 years of database management experience in Raiser’s Edge & Raiser’s Edge NXT, or similar systems, with experience managing and optimizing CRMs; experience with donation management and online marketing tools (e.g., Luminate Online, 360MatchPro).
  • Demonstrated experience establishing fundraising operations for a growing organization or major campaign
  • Knowledge of CRA regulations governing charitable organizations (i.e. receipting rules) and fundraising activities.
  • Experience with data governance, reporting and data visualization tools, and business intelligence platforms is an asset.
  • Project Management Professional (PMP), Certified Fund Raising Executive (CFRE), or equivalent certification is considered an asset.
  • Proficiency in adopting and training others in new technologies (i.e. AI applications) is an asset.
