The Financial Controller is key to supporting the activities of the Fields Institute, a busy, non-profit mathematics research institute located in downtown Toronto. This role is responsible for a broad range of financial management functions in support of the general operation of the Institute as well as the preparation of internal and external reports in compliance with regulations, terms and or conditions issued or required by government, sponsors and/or donors. The Financial Controller will manage two direct reports and is a member of the Senior Management Team of the Institute.

Financial management functions include administering the operating budget and overseeing the recording of expenditures and revenues. This includes:

  • Processing payroll;
  • Monitoring operating fund, bank and investment accounts, as well as restricted funds, including endowments and trust funds;
  • Analyzing, tracking and reporting on external funding grants;
  • Monitoring and documenting internal controls and financial management practices, suggesting improvements if warranted.

Responsibilities

We are looking for an energetic and self-motivated professional who will:

  • Develop and implement internal controls and processes and provides recommendations for improvements to promoting effective and efficient processes;
  • Guide the financial planning process, including planning, budgeting, forecasting and variance analysis, that aligns with the Fields strategy;
  • Provide ongoing income and expense management, including developing new management reporting and preparing existing management reporting and analytical commentary to the senior management, the Audit Committee and the Board of Directors;
  • Liaise and coordinate non-profit audit process with our external auditors for year-end financial report preparations and filing;
  • Prepare the Annual Financial Statements of the Fields Institute;
  • Prepare external reports such as the Annual Registered Charity Return (T3010) for the CRA; the Public Service Bodies’ rebate, the Annual R&D Expenses survey for Statistics Canada and oversee any required IRS filings;
  • Prepare financial reports required by sponsors and donors;
  • Guide and lead accounting employees to ensure accurate financial processes are being used according to the policies of Fields;
  • Oversee payroll and maintain confidential personnel files and documentation, including ensuring that staff vacation time is tracked, reported and paid out as necessary.

Qualifications

Education

University degree in business, commerce, accounting and a CPA designation.

Experience

Three (3) to five (5) years of related experience with financial management, including payroll function, preferably in a post-secondary environment or a not-for-profit organization. Proven record of applying sound financial and accounting principles as well as practices with the highest integrity. Experience in working collaboratively, effectively and professionally with people at all levels of the organization.

Skills

Excellent oral and written communication, interpersonal, organization and time management.

Advanced proficiency with Word and Excel. Knowledge of SAP accounting software package desired.
