This position is responsible for overseeing sponsorship contract management and fulfillment, maintaining accurate donor and sponsor records in the fund development CRM, and ensuring data integrity to support fundraising, sponsorship, and donor stewardship efforts. The Coordinator will work closely with the Fund Development Director, Marketing, and Communications teams to deliver high-quality sponsor and donor experience while ensuring timely and accurate reporting.The successful candidate will exhibit traits that align with WinSport’s values and key behaviours:We are Safe We are Welcoming  &nbsp;We are Inspiring  &nbsp;And we are&nbsp;Creative&nbsp;  &nbsp;ResponsibilitiesSponsorship Contract Management &amp; Fulfillment<ul><li>Manage all incoming and renewed sponsorship agreements, ensuring contracts are executed accurately and on time.</li><li>Track fulfillment of sponsorship benefits, including logo placement, event activations, recognition opportunities, and reporting deliverables.</li><li>Collaborate with marketing, events, and program teams to ensure sponsor obligations are met and documented.</li><li>Maintain clear communication with sponsors regarding timelines, deliverables, and reporting.</li><li>Manage the sponsorship invoicing process for accurate and timely sponsorship payments</li></ul>CRM Management (Fund Development CRM)<ul><li>Serve as the primary administrator for the organization’s fund development CRM system (e.g., Raiser’s Edge, Salesforce, or similar).</li><li>Input, update, and maintain donor, sponsor, and prospect records, ensuring accuracy and consistency.</li><li>Create and maintain processes for efficient data entry, segmentation, and reporting.</li><li>Generate and distribute donor and sponsor reports for internal stakeholders and external partners.</li></ul>Data Management &amp; Reporting<ul><li>Maintain accurate, up-to-date records of donations, sponsorship payments, pledges, and contact information.</li><li>Develop and maintain dashboards, performance reports, and tracking tools to support fundraising and sponsorship strategies.</li><li>Conduct data analysis to identify trends, opportunities, and areas for improvement in donor and sponsor engagement.</li><li>Ensure compliance with privacy laws, CRA charitable receipting requirements, and internal data security policies.</li></ul>Fund Development Support<ul><li>Assist in the planning and execution of fundraising campaigns, sponsorship proposals, and donor stewardship initiatives.</li><li>Support and lead the logistical requirements of sponsorship and donor activations. ABOUT CAMP POTLATCHCamp Potlatch, a wilderness Summer Camp and Outdoor Centre located on 133 acres along the picturesque shores of Howe Sound, is operated by BGC South Coast BC, which provides a wide range of social development and recreational services to children, youth, and families in the Lower Mainland.Camp Potlatch is a rustic wilderness site that provides a natural gateway into the rugged landscape of British Columbia’s South Coast. Sandy beaches and unspoiled hiking territory create an idyllic environment to work, explore and play! Even though it is less than an hour from Vancouver, the camp is truly isolated in pristine wilderness and is only accessible by boat. Wildlife sightings include – but are not limited to – whales, seals, porpoises, bears, and bald eagles! Adventure starts here!SUMMARY OF RESPONSIBILITILIES&nbsp;Reporting to the Director of Camp and Facilities, the Camp Potlatch Coordinator will act as a key member of the leadership team at Camp and fulfill a wide range of duties relating to Camp programs, facilities, administration, marketing &amp; promotion, and human resources.&nbsp;The Coordinator position involves overseeing the day-to-day functioning of Camp Potlatch during the summer season and the Outdoor Centre programs during the spring and fall seasons. Camp Potlatch is a boat-access-only site and the Coordinator will be generally based at Camp from May to October while programs are being delivered.JOB DUTIESWorking closely with the Director of Camp and Facilities, the Coordinator:<ul><li>Oversees the day-to-day functioning of Summer Camp, including the supervision of approximately 50 staff and 135 campers on site during each session.</li><li>Participates in the oversight of the day-to-day operations of the Outdoor Centre.</li><li>Ensures that Camp Potlatch operates with the highest degree of health and safety standards for camper care, program delivery, food services, facility maintenance, and health/medical services.</li><li>Ensures that BGC’s program standards, guidelines, and policies are followed, and that the programs align with BGC’s mission, vision, values, and strategic direction.&nbsp;</li><li>Ensures that all facilities, equipment, and programs are managed in accordance with BGC expectations, British Columbia Camping Association standards, and legislative requirements.</li><li>Oversees all aspects of Camp programs, including multi-day, land and water-based off-site out-trips and Outdoor Centre programs.</li><li>Responsible for the recruitment, hiring, training, and evaluation of staff and volunteers.</li><li>Participates in budget development and is responsible for financial monitoring and tracking.</li><li>Working closely with the Registrar’s Office and BGC’s Marketing &amp; Communications Coordinator, develops Camp marketing and promotion materials and strategy, including registration materials.</li><li>Oversees kitchen functions at Camp, including supervision of the Cook.</li><li>Manages all health-related concerns of campers and staff including supervision of the Camp Nurse.</li><li>Assists the Director with overall facility management, including supervision of the Camp Caretaker.</li><li>Assists in overall Camp and Outdoor Centre program development, planning and evaluation.</li></ul>REQUIREMENTS<ul><li>Clear Criminal Record Check (Vulnerable Sector).</li><li>An undergraduate degree in related field, with a minimum of two years experience working in a leadership role(s) at an accredited summer camp or other large child and youth-serving recreation sector program.</li><li>Industry-recognized certifications and/or equivalent experience in kayaking, canoeing, rock climbing, and lifeguarding.&nbsp;</li><li>Experience supervising, training, and evaluating staff and volunteers.</li><li>Demonstrated teamwork, leadership, and supervisory skills with the ability to resolutions to issues/conflict.</li><li>Excellent verbal, written, and presentation skills.</li><li>Computer and data management experience, with working knowledge of MS Office and computerized registration systems.</li><li>Strong organizational, problem solving, and time management skills.</li><li>Demonstrated ability to work efficiently under pressure and remain focused within a constantly changing work environment.</li><li>Willingness to work flexible hours including evenings and weekends, as well as living on site for the duration of the Camp program (May – October).</li><li>Occupational First Aid Level III. Must be obtained within 6 months of hire (paid by BGC).</li><li>Class 4 driver’s license. Must be obtained within 6 months of hire (paid by BGC).</li><li>Small Vessel Operator Proficiency.
