<h3><strong>Our Organization</strong></h3><p>Inn From the Cold (IFTC) is a not-for-profit organization serving individuals experiencing homelessness in York Region. We provide a continuum of supports that meet people where they are and help them move toward stability and long-term housing. Our services include a year-round emergency shelter, a transitional housing program, two daily drop-by centres, and a range of group programs focused on life skills, wellness, and community connection.</p><p>IFTC is committed to creating a safe, welcoming, and trauma-informed environment where clients are supported in their unique journeys out of homelessness toward independence and housing stability.</p><h3><strong>Position Summary</strong></h3><p>Reporting to the Executive Director, the Accounting Clerk is responsible for executing day-to-day financial transactions that keep the organization’s operations running smoothly. This position supports accounts payable (A/P), and accounts receivable (A/R) functions, ensuring accuracy, timeliness, and compliance with internal controls and not-for-profit accounting standards. Working closely with the Financial Analyst, the Accounting Clerk maintains records, processes payments, and ensures documentation is complete and audit ready. The ideal candidate is detail-oriented, organized, and committed to maintaining strong financial stewardship in support of the organization’s mission.</p><h3><strong>Key Responsibilities/Duties</strong></h3><p>1. Accounts Payable (A/P)</p><ul><li>Process invoices with correct general ledger (GL) and cost centre information for payment.</li><li>Verify payment approvals.</li><li>Prepare electronic funds transfers (EFTs) or cheques for review and signatures.</li><li>Maintain and update the vendor master file.</li><li>Reconcile credit card transactions.</li><li>Process employee mileage and expense reimbursement.</li></ul><p>2. Accounts Receivable (A/R)</p><ul><li>Record and deposit incoming payments (donations, funder installments, rental income, etc.).</li><li>Issue receivable invoices to funders, partners, or tenants and social enterprise members as required.</li><li>Track outstanding receivables and follow up to ensure timely collection.</li><li>Maintain accurate records of deposits and revenue sources for audit purposes.</li></ul><p>3. Recordkeeping &amp; Audit Support</p><ul><li>File and archive all financial source documents (digital and hard copy).</li><li>Maintain orderly records of invoices, receipts, contracts, and supporting documentation.</li><li>Support the annual audit by preparing vouchers, schedules, and backup files.</li><li>Monitor and reconcile the organizational float system, ensuring cash advances and reimbursements are properly documented, approved, and replenished according to policy.</li></ul><p>4. Administrative &amp; Financial Support</p><ul><li>Manage the finance email inbox and respond to staff and vendor inquiries.</li><li>Assist with data entry, reporting, and ad hoc financial analysis.</li><li>Support the implementation of new accounting procedures or software improvements.</li></ul><h3><strong>Core Competencies</strong></h3><ul><li>Strong attention to detail, accuracy and organization.</li><li>Accountability and reliability.</li><li>Integrity, discretion and ability to maintain confidentiality and protection of privacy.</li><li>Ability to meet deadlines and manage multiple priorities.</li></ul><h3><strong>Qualifications and Experience</strong></h3><ul><li>Post-secondary diploma or degree in Accounting, Finance, or Business Administration.</li><li>Minimum 2–3 years of experience in bookkeeping, accounting.</li><li>Ability to prepare journal entries and reconcile accounts.</li><li>Demonstrated knowledge of accounting software (QuickBooks Online preferred).</li><li>Proficiency in Microsoft Office (Excel, Word, and Outlook) and spreadsheet applications.</li><li>Familiarity with WSIB, EHT, CRA payroll, and HST compliance considered an asset.</li><li>Good interpersonal and organizational skills.&nbsp;Ability to work effectively in a fast-paced environment. </li><li>Working knowledge of payroll an asset.</li><li>Not-for-profit experience an asset.</li><li>A Vulnerable Sector Check is required.</li></ul><h3><strong>How to Apply</strong></h3><ul><li>Please submit your résumé and cover letter outlining your relevant experience and interest in this position to <a href="mailto:hr@innfromthecold.ca" target="_blank">hr@innfromthecold.ca</a> with the subject line “Accounting Clerk Application”.</li><li>Applications will be accepted until <strong>Monday, December 1, 2025.</strong></li><li>We thank all applicants for their interest in Inn from the Cold.
