mentoring relationships between volunteer mentors and our Mentees (ages 7-17). 
 
Position Summary: 
The Mentoring Coordinator initiates, facilitates, supports, and monitors the mentoring relationship between a 
youth (the “Little” or “Mentee”) in need of academic support and an adult volunteer (the “Big Sister” or 
“Mentor” ). Recruiting, interviewing, screening, training, and supporting volunteers, as well as ongoing record 
keeping via database management, are key components of this position. 
 
What you will be doing: 
Case Management 

 • Conducts intakes with potential Littles / Mentees and their parent(s) / guardian(s) – explains the 
program, prepares case histories, assesses child and family needs and strengths, refers families to 
additional programs and resources as appropriate / necessary 

 • Interviews Big Sister and Study Buddy Volunteer applicants; provides assessment on suitability for the 
program; conducts training and orientation sessions for approved volunteers; manages and documents 
volunteer correspondence 

 • In accordance with Big Brothers Big Sisters’ National Standards, maintains ongoing contact with the Big 
Sister Volunteer and Little / Mentee (and their family) to ensure a supported, successful, and culturally 
responsive &amp; appropriate match; 

 • Monitors each match with particular attention to Little / Mentee’s physical, mental, and emotional 
safety &amp; wellbeing 

 • Develops and implements appropriate match support strategies as necessary (increased levels of 
monitoring &amp; support, connections to additional resources, etc.) 

 
Database / Client Records Management 

 • Ensures client and volunteer files are accurate and up to date 
 • Documents interviews, check-ins, conversations, emails, etc. with mentoring matches and produces 

written summaries, assessments, and reports 
 • Maintains security and confidentiality of child / youth / volunteer information in accordance with 

Agency policies and FOIPPA regulations 
 
Program Operations 

 • Participates in the organization of, and offers suggestions on, agency activities, special events, 
scholarship applications, camps and workshops 

 • Works to ensure the appropriate support of program participants within the constraints of agency 
resources 

 • Participates in evaluating the effectiveness and efficiency of the program and provides suggestions to 
modify programs and procedures 

 • Participates in ongoing trainings related to child &amp; youth safety and wellbeing, JEDI implementation, 
anti-racism education, etc., as required

Community Outreach 
 • Acts as a liaison between the Agency and youth workers at other community organizations, schools,

government ministries, municipalities, and ethno-cultural groups as requested
 • Establishes and maintains a professional network of contacts at youth-serving agencies throughout our

service area
 • Maintains a thorough knowledge of community resources to meet client needs
 • Attends and participates in community events such as volunteer recruitment fairs, sector development

events, funder events, as required

What you bring: 
Experience &amp; Education 

 • Minimum 2-year post-secondary diploma with related work experience (required) or a bachelor’s
degree in social sciences or humanities (preferred)

 • 1 - 3 years direct program delivery experience working with children and families, ideally in a not-for-
profit social services organization

 • Demonstrated knowledge of community-based programs and provincial support systems for youth &amp;
families is preferred

 • An equivalent combination of experience &amp; education will be considered, however, a minimum 2-year
diploma is mandated by our National Standards

Other Knowledge / Skills / Abilities / Training 
 • A clear criminal records check, including vulnerable sector (Big Sisters will reimburse the cost of 

obtaining a CRC if candidate does not have a recent one)
 • Computer literate, experience with databases such as Microsoft Dynamics as strong asset

About the Role 
Reporting directly to the Chief Executive Officer and leading a team of approximately 13 team members 
(including 4 direct reports/supervisors), the Director of Programs directs the day-to-day operations of the 
agency’s programs and services to ensure that the organization’s goals and objectives are met. The Director 
of Programs oversees the planning, coordination, and administration of the programs to ensure consistency 
and quality of service delivery. As a member of the senior leadership team, participates in developing and 
executing operational and strategic plans.

Program Strategy &amp; Impact 

 • Lead the design, delivery, and evaluation of inclusive, trauma-informed programs that meet the 
diverse needs of youth and families. 

 • Ensure program quality, consistency, and compliance with legal and national accreditation standards. 
 • Use data and stakeholder feedback to drive continuous improvement and demonstrate impact. 
 • Collaborate with the fundraising department to develop funding proposals 
 • Oversee program budgets, case management systems, and child safety protocols. 

 
Organizational &amp; Community Leadership 

 • Contribute to strategic planning and agency-wide initiatives as a member of the senior leadership

 • Foster meaningful partnerships with community organizations, funders, and national networks, and 
school districts. 

 • Represent the agency in public forums, roundtables, and collaborative initiatives. 
 
Team Development &amp; Culture 

 • Recruit, train, and support a high-performing, values-aligned program team.

What you bring: 

 • Post-secondary education in social work, counselling, education, psychology, or a related field. 
 • Minimum six (6) years of leadership/management experience. 
 • Minimum three (3) years of experience in social service program delivery, coordination, or 

implementation. 
 • Demonstrated knowledge of community-based programs and provincial support systems. 
 • Strong knowledge of child and adolescent development. 
 • Experience working with culturally diverse clients and stakeholders, with a strong commitment to 

equity, diversity, and inclusion. 
 • Experience in quality assurance, including implementing and complying with accreditation standards, 

impact measurement, and program evaluation. 
 • Experience in group leadership, facilitation, and training. 
 • Proficiency in Microsoft Office; experience with case management systems is an asset.

1:1 Mentoring Coordinator

Specialized Youth Supports Manager&nbsp;Competition #50-25Working within the mission, vision, values, and person-centred philosophy of the Agency, the Program Manager is responsible for the management, quality, and supervision of a complex, multi-site portfolio, including managing a youth safe house, pre-employment program, arts program, 2SLGBTIA+ program and overseeing the Reaching Home subsidy program. As a member of the management team, the Program Manager supervises staff members, participates in budgeting, and manages within their budget, as well as fostering relationships with funders and other internal and external parties. Our Vancouver chapter has been operational since November 2018, and during this time, we have assisted over 1,000 survivors across the Lower Mainland. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence.&nbsp;Volunteering at Shelter Movers means contributing to a mission that will make a meaningful impact on families experiencing abuse and supporting survivors as they transition to a life free of violence. It also means playing a role in ending gender-based violence. We are growing and looking to add caring, compassionate, and dependable people to our team.&nbsp;The RoleMovers and Drivers are the backbone of the organization, as they carry out the mission on the ground by moving clients’ belongings to safety. In a group of 2-7 movers/drivers, guided by a detailed itinerary, volunteers will load/unload the client’s belongings into a vehicle and transport the client to the predetermined location. Rental vehicles are provided for the move, and movers who have a valid driver’s license are welcome to register as drivers. &nbsp;This is a great opportunity for someone who wants to make a significant impact through volunteering their time in a hands-on capacity for small chunks of time.
