About the Association
The End of Life Doula Association of Canada (EOLDAC) is a national non-profit organization dedicated to supporting and promoting the work of end-of-life doulas across Canada through education, advocacy, and community engagement.
As a small, volunteer-led organization, responsible financial stewardship is an important part of our governance. We are seeking an experienced accounting professional who can independently maintain accurate financial records and provide reliable financial information to our Treasurer and Board of Directors.
About the Role
The Volunteer Senior Accountant / Bookkeeper is responsible for the Association's routine bookkeeping and accounting records, account reconciliations, and preparation of quarterly financial reports.
This is a hands-on role suited to a BC-based experienced accountant or senior bookkeeper who is comfortable working independently. The Association does not currently have another accounting professional available to routinely review the work performed in this position. For that reason, the successful volunteer must have sufficient experience and technical judgment to maintain accurate records, perform appropriate self-review, identify discrepancies, and raise financial or accounting issues with the Treasurer when necessary.
The Senior Accountant / Bookkeeper reports to the Treasurer. The Treasurer provides governance and financial oversight but is not expected to provide technical accounting supervision or detailed review of routine bookkeeping work.
The role is expected to require no more than approximately eight hours per month under normal circumstances, although some flexibility may occasionally be required around quarter-end or year-end.
Currently we back with a BC-based credit union and as a result, require someone who has BC residency and is located near one of Envision Financial's BC branches. In the future, as Envision's banking becomes available nationwide, we could consider an applicant based near one of Envision's new locations.
The Association has also recently applied for Charitable Status and is expecting for a response to our application in December 2026. Experience working with Canadian registered charities or not-for-profit organizations, including familiarity with restricted fund accounting, GST/HST matters, and annual CRA compliance requirements such as the T3010 Registered Charity Information Return, is preferred.
Key Responsibilities
Bookkeeping and Financial Records
- Maintain complete and accurate accounting records for the Association.
- Record revenues, expenses, payments, deposits, transfers, refunds, and other financial transactions.
- Ensure transactions are appropriately categorized and supported by invoices, receipts, payment records, or other documentation.
- Maintain accurate records for general operations and any restricted or special-project funds.
- Record appropriate journal entries and accounting adjustments when required.
- Identify and appropriately account for items such as prepaid expenses, accruals, deferred amounts, deposits, or other adjustments where applicable.
Reconciliations and Financial Controls
- Complete monthly reconciliations of the Association's bank accounts.
- Reconcile payment-processing accounts or platforms, such as PayPal and Stripe, where applicable.
- Investigate and resolve discrepancies promptly.
- Confirm that transactions appearing in financial records are supported by appropriate documentation.
- Identify unusual transactions, missing documentation, accounting errors, or potential control concerns and bring them to the attention of the Treasurer.
- Maintain an appropriate level of self-review to support the accuracy and completeness of the Association's financial records.
Accounts Payable and Payment Support
- Review approved payment documentation for completeness before recording transactions.
- Where authorized, assist with preparing or setting up payments in accordance with the Association's financial controls.
- Ensure that payment preparation, approval, and release responsibilities remain appropriately separated.
- Maintain clear records connecting payments to invoices, receipts, reimbursement requests, and approvals.
- Not approve or release any payment for which the volunteer is personally the beneficiary.
Quarterly Financial Reporting
Prepare financial information for the Treasurer and Board of Directors on a quarterly basis, including at minimum:
- balance sheet and income statement comparison (current year to previous year comparison);
- income statement by month (YTD);
- comparison of actual results to the approved budget;
- bank and cash balances;
- balances relating to restricted or special-project funds, where applicable;
- identification of significant variances;
- outstanding liabilities or commitments of significance; and
- unusual transactions or accounting matters requiring the Treasurer's or Board's attention.
The Senior Accountant / Bookkeeper should be comfortable explaining material financial issues in clear language to Board members who may not have accounting backgrounds.
Year-End Support
- Ensure accounting records are complete and reconciled for fiscal year-end.
- Prepare appropriate year-end working papers and supporting schedules.
- Assist the Treasurer in assembling financial information required for annual reporting, regulatory filings, tax filings, or external accounting support, where applicable.
- Work with an external accountant or other professional if one is engaged by the Association.
- Help ensure financial records and supporting documentation are maintained in accordance with the Association's record-retention requirements.
Process and Internal-Control Support
- Follow the Association's Financial Management and Internal Controls Policy and delegated financial authorities.
- Help maintain consistent bookkeeping and financial administration procedures.
- Identify opportunities to improve financial recordkeeping, documentation, or accounting processes.
- Advise the Treasurer where an accounting treatment, financial process, or control requires attention.
- Maintain appropriate confidentiality regarding the Association's financial information.
The Skills and Experience You Bring
Because this position operates with a high degree of independence, we are seeking someone with substantial practical bookkeeping or accounting experience.
The successful volunteer will ideally bring:
- approximately five or more years of relevant accounting or senior bookkeeping experience, or equivalent demonstrated competency;
- strong knowledge of bookkeeping and generally accepted accounting principles applicable to a small organization;
- demonstrated experience managing full-cycle bookkeeping independently;
- strong experience completing bank and account reconciliations;
- experience preparing financial statements or management reports;
- demonstrated ability to investigate discrepancies and resolve accounting issues without close supervision;
- strong attention to detail and a commitment to accurate, complete financial records;
- ability to organize work independently and meet recurring monthly and quarterly deadlines;
- sound professional judgment and a willingness to identify and raise concerns when something does not appear correct;
- comfort using accounting software (Quickbooks Online), spreadsheets, cloud-based document systems, and online banking or payment platforms; and
- ability to explain financial information clearly to individuals who do not have accounting backgrounds.
Experience working with a Canadian non-profit, association, charity, society, or other volunteer-governed organization would be a strong asset.
An accounting diploma, degree, professional bookkeeping designation, CPA designation, or equivalent professional experience would also be an asset. A professional accounting designation is not necessarily required where the applicant has substantial relevant experience and can demonstrate the ability to independently perform the responsibilities of the position.

The Senior Accountant / Bookkeeper will help the Association maintain a financial system in which:
- bank and payment accounts are reconciled regularly;
- financial records are current and accurate;
- transactions have appropriate supporting documentation;
- discrepancies are identified and resolved promptly;
- quarterly financial information is available to the Treasurer and Board on schedule;
- the Treasurer can rely on the underlying accounting records when providing financial oversight; and
- the Board has clear, understandable information with which to exercise its fiduciary responsibilities.
