Volunteer Communications and Outreach Coordinator

Organization: Bros Before Lows Foundation

Location: Remote within Canada

Position Type: Volunteer

Time Commitment: Approximately 1–3 hours per week

Reports To: Administrative leadership

Position Overview

Bros Before Lows Foundation is looking for a creative and organized volunteer to help with newsletters, public event listings, volunteer updates, and community outreach.

The volunteer will work with approved, non-confidential information provided by the foundation. This position does not involve reviewing participant intake forms, facilitator applications, wellness information, emergency contacts, crisis reports, or other sensitive health information.

Clear instructions, templates, and support will be provided.

Responsibilities

Newsletters and Email Communications

  • Draft, format, and schedule approved newsletters and community emails.
  • Prepare the Weekly Facilitator Update using approved, non-confidential information.
  • Help prepare volunteer-recognition and community-impact features.
  • Share upcoming events, organizational updates, volunteer opportunities, and community resources.
  • Proofread communications for accuracy, clarity, tone, and accessibility.
  • Maintain a simple schedule of planned newsletters and communications.
  • Use approved templates and receive authorization before distributing communications.

Public Events and Registration Pages

  • Create and update approved public event listings.
  • Add approved peer support group dates to the public Zeffy registration page.
  • Cross-post approved events on Zeffy, Meetup, Eventbrite, and Facebook.
  • Use duplication features to create recurring event listings.
  • Confirm that dates, times, descriptions, registration links, and public contact information are consistent across platforms.
  • Correct or remove outdated public information when requested.
  • Ensure confidential participant or facilitator information is never included in public listings.

Volunteer Recruitment and Community Outreach

  • Help promote upcoming volunteer and facilitator-training opportunities.
  • Draft public recruitment advertisements using information provided by the appropriate team member.
  • Adapt approved recruitment content for email, event platforms, and community partners.
  • Support outreach to community organizations, volunteers, supporters, and members of the public.
  • Help explain the foundation’s non-clinical peer support model clearly and respectfully.

Community Storytelling

  • Draft approved volunteer-recognition and community-impact stories.
  • Help develop communications featuring creative arts, music, community connection, and other approved wellness-related topics.
  • Confirm that leadership has approved any name, image, quotation, or personal story before it is shared.
  • Use anonymized or approved information when discussing program impact.

Information-Access Boundaries

This volunteer will NOT be expected to access:

  • Peer support group participant intake forms.
  • Participant wellness responses.
  • Emergency contact information.
  • Crisis Response Forms.
  • Facilitator applications or screening responses.
  • Space Holding Agreements.
  • Confidential facilitator assessments.
  • Restricted facilitator or participant databases.
  • Private health, crisis, safeguarding, or accommodation information.

If the volunteer accidentally receives confidential information, they should stop reviewing it and notify administrative leadership.

Qualifications

We are looking for someone who:

  • Has strong writing, editing, and proofreading skills.
  • Communicates clearly, respectfully, and empathetically.
  • Is organized and comfortable managing recurring communication tasks.
  • Has basic experience with Gmail, Google Docs, Google Drive, and Google Calendar.
  • Is willing to learn Zeffy, Meetup, Eventbrite, and Facebook event tools.
  • Can follow communication templates and approval procedures.
  • Understands the importance of consent and respectful community storytelling.
  • Feels comfortable asking questions when something is unclear.

Experience with newsletters, communications, marketing, community outreach, public relations, event promotion, or nonprofit organizations is helpful but not required.

Training and Support

The volunteer will receive:

  • Newsletter and communication templates.
  • Instructions for updating public event listings.
  • Training on the relevant communication platforms.
  • Approved information for facilitator recruitment and public outreach.
  • Support from administrative leadership.
  • Clear guidance about what information can and cannot be shared publicly.
