About the Role

Smiles Foundation is seeking a proactive, creative, and highly organized Social Media Coordinator Volunteer to lead, coordinate, and strengthen our Social Media & Digital Marketing team.

This is an excellent opportunity for someone who enjoys social media strategy, digital communications, team coordination, and creative collaboration while contributing to a meaningful nonprofit mission.

The Social Media Coordinator will oversee social media planning, content development, publishing schedules, audience engagement, and digital performance, while coordinating volunteers responsible for content creation, graphic design, and digital marketing.

Important: Coordinating the Social Media Team

Smiles Foundation has volunteers supporting different aspects of social media content creation and digital communications.

The selected volunteer will be responsible for bringing these activities together through clear planning, task assignments, communication, and follow-up.

This position focuses primarily on coordination, leadership, and oversight, rather than independently creating every social media post or graphic.

However, the selected volunteer should also be comfortable taking a hands-on approach when needed to ensure content is prepared, reviewed, and published on schedule.

As the team develops, the Coordinator will help strengthen workflows, improve collaboration, establish consistent publishing practices, and support the onboarding of additional volunteers.

Key Responsibilities

  • Coordinate Smiles Foundation’s Social Media & Digital Marketing team, including activities, priorities, assignments, and workflow.
  • Develop and maintain a social media content calendar aligned with organizational priorities, programs, campaigns, events, and communications activities.
  • Assign and coordinate tasks among Social Media Content Creators, Graphic Designers/Canva Volunteers, and other digital marketing volunteers.
  • Establish clear deadlines, publishing schedules, and expectations for assigned content.
  • Review social media content before publication to ensure accuracy, consistency, appropriate tone, branding, and alignment with Smiles Foundation’s mission.
  • Coordinate the adaptation of approved impact stories, program updates, organizational announcements, and fundraising campaigns into engaging social media content.
  • Oversee publishing activities across Smiles Foundation’s approved social media platforms.
  • Monitor audience engagement, comments, messages, and relevant activity, ensuring inquiries requiring organizational attention are appropriately directed.
  • Coordinate with the Communications & Storytelling team to maintain consistent messaging and ensure content reflects approved organizational information.
  • Collaborate with the Google Ads & Digital Marketing Volunteer to align advertising campaigns with organizational priorities and social media activities.
  • Work with Analytics & Reporting Support to review digital performance, identify trends, and recommend practical improvements.
  • Coordinate with Fundraising & Events and Donor Relations & Partnerships to support campaigns, donor recognition, and partnership-related communications.
  • Collaborate with the Volunteer Coordinator to support volunteer recruitment, recognition, and onboarding within the department.
  • Conduct regular team check-ins to monitor progress, address challenges, and maintain clear communication.
  • Ensure content involving children, patients, beneficiaries, donors, and volunteers follows organizational privacy, consent, and media-use requirements.
  • Maintain organized content calendars, approved materials, digital assets, and relevant documentation.
  • Identify and escalate sensitive comments, reputational concerns, account-security issues, or content requiring leadership approval.

Expected Deliverables

The Social Media Coordinator will be expected to:

  • Maintain an up-to-date social media content calendar, including planned content, assigned volunteers, platforms, deadlines, and publication status.
  • Ensure team members have clearly defined responsibilities and realistic deadlines.
  • Coordinate the review, approval, scheduling, and publication of social media content.
  • Maintain consistent activity across Smiles Foundation’s selected social media platforms.
  • Ensure relevant audience comments, messages, and inquiries are monitored and appropriately addressed or referred.
  • Review social media and digital performance at least monthly to identify opportunities for improvement.
  • Support collaboration among content creators, graphic designers, and digital marketing volunteers.
  • Identify overdue tasks, missing materials, approval requirements, or workflow challenges and follow up appropriately.
  • Maintain organized records of social media plans, approved content, campaigns, and digital assets.
  • Support the continuous improvement of team coordination, content quality, and publishing processes.

The Coordinator will also provide a monthly Social Media & Digital Marketing update to the Administrative Director/Operations Coordinator covering:

  • Content published and major activities completed.
  • Audience engagement and key performance indicators.
  • Active and upcoming social media campaigns.
  • Notable audience growth and engagement trends.
  • Content performance and opportunities for improvement.
  • Outstanding tasks, approvals, or operational challenges.
  • Upcoming priorities and planned activities.
  • Recommendations for improving digital visibility and engagement.

Ideal Candidate

We are looking for someone who is:

  • Organized, proactive, dependable, and comfortable working independently.
  • Creative and interested in social media strategy, digital communications, and audience engagement.
  • Comfortable coordinating volunteers, assigning tasks, and following up on deadlines.
  • Able to manage multiple priorities and maintain structured content calendars.
  • Familiar with major social media platforms and current digital communication practices.
  • Able to review written and visual content and provide constructive feedback.
  • A strong communicator who can collaborate effectively with volunteers and organizational leadership.
  • Comfortable interpreting basic social media analytics and using performance information to guide improvements.
  • Detail-oriented, with an understanding of brand consistency and professional communication.
  • Comfortable working with a remote, multicultural, and volunteer-based team.
  • Interested in nonprofit communications, community engagement, and social impact.
  • Willing and able to provide these services on a volunteer basis.

Experience in social media management, digital marketing, communications, content strategy, project coordination, team leadership, or nonprofit communications would be an asset.

Experience with tools such as Canva, Meta Business Suite, social media scheduling platforms, or analytics tools would also be beneficial.

What Makes This Opportunity Different

This is more than a traditional social media content creation position.

The selected volunteer will have the opportunity to coordinate an existing group of creative volunteers, strengthen digital communication processes, and contribute to the strategic direction of Smiles Foundation’s social media presence.

Rather than focusing exclusively on individual posts, this role offers hands-on experience in team coordination, content planning, cross-functional collaboration, and digital performance monitoring.

It is particularly well suited to someone who enjoys organizing creative teams, improving processes, and helping an organization communicate its mission and impact more effectively.

Commitment

Approximately 10 hours per week, with a requested minimum commitment of one year.

The role requires consistent communication, coordination, and follow-up to maintain publishing schedules and support the volunteer team.

Some flexibility may occasionally be required around major campaigns, fundraising initiatives, or time-sensitive organizational announcements.
