Position Summary
Dixon Hall is seeking a dedicated Property Administrator to join our Real Estate & Property Management team. Reporting to the Property Manager, the Property Administrator provides administrative and operational support across Dixon Hall’s housing projects. The position plays a significant role in housing administration for Dixon Hall’s supportive housing portfolio.
This position is a non-unionized position.

Responsibilities

  • Responds to inquiries from tenants and site staff both verbally and in writing.
  • Initiates verbal and written communication with tenants requesting information to support tenancy administration.
  • Reviews and interprets tenant information to ensure accuracy and compliance regarding tenancy accounts.
  • Maintains manual and automated tenant and property files including tenancy agreements, letters issued to tenants, vacancy reports, and rent records.
  • Monitors and tracks tenant rent payments and follows up with tenants and staff regarding rent arrears. Issues arrears letters and N4s. Assists in preparing L1s for the LTB.
  • Takes a lead role in the tenancy lifecycle from unit viewings to lease signings to move-ins and provides tracking and coordination of vacancies. Works with the housing support team to ensure prospects are moving through the lifecycle. Support the Property Managers in preparing Confirmation Letters and leases.
  • Supports in coordinating unit vacancy reporting to the housing support team and the City’s Coordinated Access as well as internally with the maintenance team with respect to unit turnover.
  • Participates in unit inspections and documents follow-up actions with Property Managers and tenants as appropriate.
  • Issues Notices of Entry (NOEs), behavioural letters, and tenant correspondence.
  • Supports Property Managers with administrative work and vendor management.
  • Works closely with the RGI Specialist, providing coverage to the position as needed.
  • Provides management support to the Property Managers.
  • Ability to communicate verbally and in writing; in languages other than English, an asset.

Qualifications

  • Completion of secondary school graduation in addition to post-secondary courses in a relevant field such as business administration or property management.
  • Minimum two years of demonstrated work experience in an office or administrative environment.
  • Ability to investigate and solve problems creatively within established policies and procedures.
  • Excellent oral and written communication skills
  • Excellent interpersonal skills and professional boundaries.
  • Knowledge of resources and services available in the community.
  • Certificates in first aid, CPR, crisis prevention, and intervention are assets.
  • Must be qualified to work in Canada legally for the employer.
  • Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the agency's operational requirements.
  • Strong knowledge of Microsoft Office Suite including Word, SharePoint, and Excel.
