About The Role
The Program Assistant role aims to provide administrative support to the Program and Services of NWRCT will also, supporting to grow the center's social media accounts, and make sure best practices are implemented for the effective delivery of the programs to the Indigenous community.The role has a special feature to support the execution of all special events and gatherings. This position will be directly accountable to the Executive Director or a designated person and will work closely and collaborative with staff and Program Manager for the execution of some of the activities described below.
What You Will Bring Along:
- Post-secondary diploma/certificate in Social Work or Administration with an interest in community wellness and a minimum of five (5) years of related work experience.
- Experience working with Indigenous Peoples and Communities, knowledge of Indigenous cultures, traditions, and family dynamics.
- Experience with social media accounts, brand management, and media control
- Ability to network, create and maintain relationships.
- Computer Savvy and working knowledge of Office equipment.
- Strong communication, facilitation, and conflict-resolution skills.
- Strong organizational/time management skills
- Proven analytical and problem-solving skills.
- Ability to think creatively and have excellent interpersonal skills.
- Current and valid CPIC and Vulnerable Sector Screening is required.
- Knowledge of database creation and maintenance is an asset.
- Current Police Record Checks and Vulnerable Sector Screening are required.
- First Aid/CPR certifications are an asset.
What You Will Be Doing:
- Coordinate, assist, and maintain the necessary supplies to deliver workshops, sharing circles, meetings, and other programs the center may offer.
- Maintain data collection of clients' participation statistics and submit results to the PM.
- Assist with creating and distributing programming Materials, evaluations, surveys etc.
- Support staff, and facilitators in execution of programming and support filling gaps of need. May offer programs from time to time as a facilitator and be onsite a support staff to evening and extra programming.
- Organize, obtain, and maintain files, and data for reports in support of the program .
- Prepare meeting documents, send communications through different mediums, and offer administrative details to support execution of programming
- Takes initiative to further knowledge regarding NWRCT programming including professional development, Indigenous awareness, case management, team building, and self-care.
- Support staff when the program manager is unavailable.
- Collaborate with management to develop and implement an effective communications strategy based on our target audience.
- Write, edit, and distribute content, including publications, press releases, website content, annual reports, speeches, and other marketing material that communicates the organization's activities, products, and/or services via social media platforms. Including but not limited to Facebook, X, Instagram.
- Establish and maintain effective relationships to maintain social media database.
- creating and sharing engaging content, managing social media channels, and analyzing performance metrics
- manage the posting and monitoring of all social media accounts, including but not limited to Facebook, X, Instagram. Creating engaging content and supporting staff in lives and promotional material.
- Lead and create strategies, agendas, creatives and more for agency special events, significant community days of recognition and community gatherings.
ADMINISTRATIVE DUTIES
• Complete reports monthly, quarterly, and annually, e.g., files, programming statistics, and monthly work plan, and submit on or before the due date, create promo materials and social media campaigns.
• Maintain accurate, current listing, case notes, and files
• Support office administration, social media communications, and data
• Collect, maintain, and share a current inventory list of program supplies and materials
• Effectively organize and update the calendar of events/ social media accounts, perform lives and support staff in promotion of programming and outreach
• Assist with program materials, its organization and backstock of items with adequacy and reasonability
