The Administrative Assistance main job is to the Director, Mr. Humphrey’s to stay organized and up to date with details of the program monthly. All paperwork will be established and shared with Mr. Humphrey by administrative assistant.
Responsibilities:
The Administrative Assistant is accountable for the following:
Working directly with the ministry contact for our specific agency, communication and staying up to date with all new monthly MCCSS regulations. Submitting all Serious Occurrence on Sorrl -site and establishing a relations ship with ministry and keep open communication with our rep to ensure Licensing is organized and prepared 60 days before e.
- Organizing and maintaining the Director's schedule with respect to meetings and activities in response to requests
- From the Director and other interested parties
- Preparing and distributing agendas and minutes, keeping abreast of current issues facing the division and identifying action items and ensuring appropriate follow-up.
- Receiving incoming calls and visitors to the Directors office, and accurately recording information
- Preparing miscellaneous correspondence, reports, and other documents, drafting original documents for the director's signature, and preparing slides, spreadsheets and other presentation materials
- Create Individual plan for teens, with their multidisciplinary team (i.e., head staff, teens, therapist).
- Crate and redefine policies and procedures of the home.
- Organize 2-3 outings for the boys to participate in each month as well as community service activities.
- Public relations to all the CAS agencies in Ontario (monthly emails sharing bed updates and changes in the program) updates so the program can grow. If a CAS agency is interested than the assistant would set up meeting with Mr. Humphrey’s.
- set up staff training every month so that they are up to date with the program and relevant training.
- Provide CAS with a tracking sheet of grades, attendance and behaviors
