While RWOB is not a standalone treatment center or rehab facility, we empower our community through accessible, dignity-centered recovery support for every stage of the journey—from pre-substance use trauma to long-term rebuilding. Our platform provides free community resources, interactive events, peer support circles, and online therapy pathways, all connected 24/7 by our free digital and AI support app (OpenRecovery & Kai AI).
Role Summary & Opportunity
We are seeking a proactive, highly organized Event Logistics & Production Lead to take the lead in ensuring our event operations and public activations progress as planned.
In this role, you will ensure that RWOB’s diverse event initiatives—ranging from community art exhibitions and expressive healing workshops to keynote speaker panels and public awareness activations—run smoothly, safely, and professionally. You will take initiative over site logistics, municipal permitting, technical production, and vendor coordination across our event portfolio. Your primary focus will be leading site execution for our flagship annual activation, Toronto’s City-Wide Recovery Day on Saturday, September 12, 2026, at Mel Lastman Square—a major public gathering featuring 2,000+ attendees, 15+ coalition partner booths, live mainstage keynotes, and 4 interactive workshop stations.
Key Responsibilities & Objectives
As the Department Lead, you will take initiative on core projects and delegate tasks to auxiliary volunteers when support is needed:
- Site & Technical Production: Oversee site mapping, stage setup, sound/AV engineering, 220V electrical tie-ins, and sanitation logistics for major public gatherings and community workshops.
- Permitting & Municipal Compliance: Coordinate City of Toronto park permits, noise exemptions, emergency action plans, waste management, and site damage deposit protocols.
- Interactive Zone Coordination: Manage the physical footprint and setup for RWOB's 4 interactive workshop stations (Expressive Arts, Somatic Grounding, Storytelling Circles, Harm Reduction/Naloxone).
- On-Site Safety & Operations: Coordinate paramedic/first-aid stations, licensed security, curb lane load-in/out schedules, and post-event site restoration.
Workflow & Delegation Protocol
- Flexible Commitment: Hours are flexible with a projected baseline of ~1 hour/day (~5 hours/week) to maintain department function, with an expectation of higher commitment leading up to and during major public events.
- Daily Management Routine: Check CRM and WhatsApp messages daily, triage site vendor updates, and post micro-tasks via our GoHighLevel CRM and team channels.
- Micro-Task Delegation: Break down department deliverables into 30–90 minute standalone micro-tickets (e.g., "Set up directional signage" or "Package 50 swag kits") for auxiliary volunteers to claim and execute independently.
