The Board of Directors plays a vital role in promoting our vision and increasing mental health and 
addiction awareness in our community. 
 
The Board meets monthly except for March, July, August, and December. Committee Meetings are held 
January, April, October and Board Meetings are held February, May, June, September, November on the 
third Wednesday of the month and are scheduled to run from 6:00PM to 8:00PM with a light supper 
provided if in-person otherwise held via MS Teams. Occasionally, additional Board meetings are required 
and are usually held via MS Teams meetings. The Board also has one evening (dinner) Board meeting 
(tbd). 
 
Board membership is a voluntary and, therefore, unpaid activity. Legitimate expenses (mileage, meals, 
child-care etc. are reimbursed). If a Board member requires it, transportation is provided to Board events. 
 
Must live at a primary permanent address in District of Municipality Muskoka or District of Parry Sound.

POSITION DESCRIPTIONPosition: Marketing and Operations AdministratorResponsible To: Executive DirectorPurpose of the JobReporting to the Festival of the Sound Executive Director (ED), the Marketing and Operations Administrator ensures that the year-round administrative operations of the Festival organization and its marketing strategies achieve the Festival of the Sound’s (FOTS) mission and organizational objectives. This position has a dual focus on support and implementation of the Festival’s marketing plan, including social media and virtual marketing, maintaining the Festival web site, and writing and distributing a regular Festival newsletter as well as administrative operations, including database management, customer service, and artist administration.KEY RESPONSIBILITIES1. MARKETING<ul><li>Research audience and maintain awareness of current trends;</li><li>Work with the Executive Director to research marketing opportunities, develop marketing strategies and create marketing materials;</li><li>Work with the ED to create and produce a social media posting schedule, ensuring consistent FOTS brand presence;</li><li>Liaise with the ED in establishing a marketing budget, and track expenses and revenue to stay within budget;</li><li>Manage Festival web site, including measuring web traffic and monitoring SEO; review regular web traffic and customer engagement reports with ED as well as maintaining up-to-date content;</li><li>Assist with advertising campaigns.</li><li>Plan and manage an optimal web posting schedule, in advance, considering web traffic and customer engagement metrics;</li><li>Report on online reviews and feedback from customers and fans;</li><li>Coordinate the production of regular member newsletters and other FOTS external communications, in collaboration with the Executive Director, and distribute via MailChimp</li></ul>2. FESTIVAL OPERATIONS<ul><li>In consultation with the ED, the Artistic Director, and Assistant Artistic Director, manage the general operations of the Festival organization, including, but not limited to: database management, administration of contracts, and technology maintenance;</li><li>Coordinate operational support for Festival and Interlude programming - maintaining meeting and rehearsal schedules, coordinating with community partners and vendors, and maintaining an organizational calendar including Board Committee Meetings;</li><li>Liaise with the Festival Financial Administrator, Education &amp; Outreach Coordinator, summer staff, and contract workers, to ensure there is coordination within Festival administrative systems and procedures;</li><li>Monitor office supplies and arrange for restocking;</li><li>Ensure a safe, attractive, and welcoming Festival office space inside and outdoors; coordinate schedule with cleaners, and liaise with the Town of Parry Sound for building maintenance and grounds issues;</li><li>Attend meetings of the Board of Directors, as requested by the Executive Director.</li></ul>3. CUSTOMER SERVICE/BOX OFFICE<ul><li>Set up ticketing in the CRM for each season and ensure new seat maps are built as needed;</li><li>Manage the Box Office operations during the year</li><li>Oversee the processing and delivery of ticket sales, passes, gift certificates, and merchandise; process donations;</li><li>Provide excellent customer and client relations;</li><li>Coordinate staff scheduling to maintain regular office hours and Box Office coverage, as required;</li><li>Liaise with Stockey Centre staff, ensuring clear communication of FOTS priorities and needs.</li></ul>4. OTHER<ul><li>Maintain Gift Shop inventory control; work with Gift Shop volunteers to inventory merchandise; monitor summer gift shop and ensure daily receipts are processed in collaboration with the Financial Administrator;</li><li>Support Annual General Meeting (AGM) preparations;</li><li>Maintain a Festival Volunteer database; communicate with volunteers as required to update contact information;</li><li>Represent the FOTS in both the local Parry Sound community and the broader Festival community;</li><li>Perform other duties assigned by the Executive Director to ensure the Festival office and operations run smoothly.&nbsp;</li></ul>KEY QUALIFICATIONS/REQUIREMENTSRequired Competencies&nbsp;<ul><li>Strong written and verbal communication skills</li><li>Excellent computer skills with ability to learn new software quickly.
