Position Title: National Examining Board (NEB) Project Coordinator (6-month contract, with the possibility for extension)

Department: National Examining Board (NEB)

Reports To: Director, NEB and AHTVTPAC

Summary:

The NEB Project Coordinator is responsible for planning, organizing, and overseeing all phases of assessment and evaluation projects to ensure successful execution, timely delivery, and alignment with organizational goals. This role serves as a liaison between multiple stakeholders to support the implementation and continuous improvement of assessments.

PRIMARILY responsible for ensuring the integrity and timely completion of the following processes, functions, and activities according to CVMA and NEB policies and procedures.

Project Coordination:

  • Manage project plan, timelines, and deliverables to ensure project goals are met for assessment initiatives.
  • Coordinate logistics and communication among internal and external project stakeholders.
  • Work with content developers and subject matter experts to facilitate the delivery of assessments.
  • Coordinate the assessor and supervisor selection and assignment processes.
  • Draft agreements for candidates, assessors, and supervisors.
  • Coordinate the portfolio and workplace-based assessments processes.
  • Provide support to candidates, assessors, and supervisors.
  • Manage the French translation and review process.

Training:

  • Develop, update, publish online training modules.
  • Track training progress.
  • Deliver training and/on orientation sessions related to assessment processes.
  • Manage the learning management system.
  • Evaluate effectiveness of training to ensure training objectives are met.

Data Collection and Reporting:

  • Develop and compile reports summarizing results, findings, and recommendations.
  • Support post-assessment reviews and process improvement initiatives.
  • Ensure quality of assessment materials and reporting.
  • Work with psychometrician to prepare technical documents.

Communication:

  • Serve as the primary contact for assessment-related inquiries and project updates.
  • Review the NEB Candidate Guide and assist with updating policies and information for candidates.
  • Communicate project outcomes and recommendations to leadership and relevant groups.

SECONDARILY responsible for:

NEB registration process:

  • Review and approve new applications, assess the credentials of new registrants, and verify registration documents.
  • Enter candidates’ information and upload candidates’ records to the databases with the utmost accuracy.
  • Monitor candidates’ progress throughout their full exam cycle.

Troubleshoot issues related to the databases and other systems.

Perform other duties as required from time to time by the Director, NEB & AHTVTP.

Required Qualifications:

  • University degree in relevant discipline minimum 5 years of related work experience working in project coordination, assessment, or program evaluation.
  • Experience in interpreting, explaining, and applying policies.
  • Ability to maintain confidentiality.
  • Excellent interpersonal, organizational, and oral and written communication skills.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Strong problem-solving and decision-making skills.
  • Ability to work with little supervision and as a team.
  • Excellent attention to detail and a high level of accuracy.
  • Proficient with MS Office and MS Teams, Internet, authoring software, and database.

Asset:

  • Bilingualism (English and French).
  • Experience in initiation, planning, and executing new projects.
  • Understanding of international educational systems and credential process

Working Conditions:

  • Standard workdays will be an average of five days per week, 7 hours per day (1.0 FTE), requiring some flexibility to meet deadlines.
  • Some attendance at meetings on weekends and/or evenings will be required.
  • Sensory attention is required to deal with clients of diverse backgrounds.
