Manager, Finance and Administration (remote first position)

Opportunity Summary

We are a mission-driven not-for-profit in an evolving landscape seeking an experienced Manager, Finance and Administration. This role will need to be flexible and adaptable as we embark on a pivotal time, redefining services and looking to increase revenue generation.

The Manager, Finance and Administration will serve as a critical role to the organization's backbone infrastructure, enabling the organization to function effectively and efficiently, ensuring fiscal integrity, regulatory compliance, and strategic financial planning. This role holds broad responsibility for corporate administration, including direct oversight of payroll, benefits administration, and general office management.

The successful candidate is a hands-on, strategic and detail-oriented leader with proven experience in the NFP sector. We are seeking a team player who is responsive to program needs across the organization, can be flexible, strategic and solution-oriented- someone who can jump in wherever needed and is able to prioritize effectively. The organization values work-life balance, and offers generous time off and scheduling flexibility. This is a remote first position, requiring travel to in person meetings approximately 3 times per year (travel reimbursed).

Key Responsibilities

A. Financial Planning & Budgeting (35%)

  • Lead the annual organizational budget process and develop multi-year financial forecasts, aligning resources with the organization's strategic goals and mission.
  • Develop and monitor financial models and projections for all earned revenue streams focusing on cost recovery and profitability.
  • Conduct in-depth variance analysis and report key trends, providing strategic commentary.
  • Work collaboratively with program managers to develop, monitor, and adjust project-specific budgets.

B. Accounting & Financial Reporting (35%)

  • Manage the full-cycle accounting process, including the general ledger, journal entries, and accurate month-end and year-end close procedures.
  • Prepare timely and accurate internal and external financial statements in accordance with Canadian Accounting Standards for Not-for-Profit Organizations.
  • Oversee fund accounting and ensure clear segregation and reporting for restricted and unrestricted funds; ensure adherence to all contribution agreements and audit requirements.
  • Coordinate the annual financial audit, acting as the primary liaison with external auditors.
  • Ensure timely filing of all regulatory returns.

C. Administration Oversight (30%)

  • Payroll and Benefits: Provide direct, hands-on management of the full-cycle, bi-weekly payroll process, ensuring rigorous compliance with all federal and provincial payroll regulations, Employment Standards Acts, and tax obligations (e.g., T4 reporting).
  • Human Resources: Administer and reconcile employee benefits and ensure regulatory compliance. Support HR functions on an as needed basis.
  • General Operations: Manage external vendor contracts (e.g., insurance, banking) and oversee the efficient operation of administrative procedures.
  • Internal Controls: Develop and enforce comprehensive internal controls and financial policies to safeguard organizational assets and ensure rigorous operational compliance.
  • Support team needs and planning, by being creative, responsive and utilizing skills and assets available.

Qualifications and Experience

Education and Designations

  • A university degree in Business, Commerce, Finance, or Accounting.
  • A recognized professional accounting designation (CPA required).
  • A Payroll Compliance Practitioner (PCP) designation is considered a strong asset.

Experience

  • Minimum of ten (10) years of experience in an accounting or finance role.
  • Five (5) years of experience at a Management level within a Not-for-Profit.
  • Demonstrated proficiency with accounting and payroll software.
  • Extensive, proven experience managing and processing full-cycle Canadian payroll and benefits administration.
  • Five (5) years of experience overseeing or supporting human resources functions.

Competencies

  • Knowledge of ASNPO and CRA NFP regulations is mandatory.
  • Strong analytical, problem-solving, and organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, including the ability to present complex financial and operational data to a variety of audiences.
  • A high degree of integrity and discretion in handling sensitive and confidential information.

This is an 18 month contract, with possibility of extension. The contract includes optional benefits and 5 weeks vacation per year. The position is slated to start in early 2026.

This position will have dual reporting lines to two senior executives; we value communication, clarity and accountability and have successfully had dual reporting relationships across the organization.
