The CharityVillage.com Privacy Policy
As a valued member of the CharityVillage.com® community, you are entitled to expect that your information will be held in strictest confidence. Because we gather certain types of information about the users of CharityVillage.com® services, we believe you should fully understand how we capture and use information. This privacy policy statement discloses the information we gather, how we gather it, how we use it, how you can correct or change it, and your role in keeping it confidential.

1. Information gathered by CharityVillage.com®
We gather three types of information about guests:
- Contact information provided by guests through registrations for various services provided by CharityVillage.com®, and through online surveys and questionnaires. This information is needed to deliver requested service(s), for invoicing where applicable, for follow-up contact with guests where required or requested, and for the delivery of electronic coupons and other rewards and gifts.
- E-mail addresses for guests who voluntarily subscribe to free e-mail newsletters, such as the Village Vibes e-mail news alert. This information is needed to deliver the newsletter to subscribers.
- Composite tallies of page views, search terms, and other traffic information useful for improving the design and content of our site, and for advising advertisers with regard to suitable ad locations. This composite information does not identify individual guests.
2. Who must register?
Registration is required to receive transactional privileges:
- Full registration is required to post information on the web site, such as recruitment ads, volunteer opportunities, coming events, Helplink items, Marketplace listings, or Discussion Forum postings.
- Short registration is required to enable the Search Alert and Send this Posting to a Friend services at the Career Centre.
There is no registration required for access to informational content available on the web site. All such information is available to anyone, without charge. Guests may access CharityVillage.com® NewsWeek, Career Centre, Nonprofit Neighbourhood, Online Resources, Library, Volunteer Bulletin Board, Book Store, HelpLink and all other content areas, etc. without registering. No information is gathered on individual guests accessing this free content.
3. Our Global Registration approach
In the interests of keeping things simple for guests, CharityVillage does not require individuals to re-register each time they wish to use or receive an additional service. Each guest registers just once, and then may select or deselect any service at any time. Individuals may also update their profile at any time. (Note that for the next few months, as the registration system is being extended to all CharityVillage.com® services, requests by e-mail will still be required to access some services.)Free e-mail Newsletters sent only to subscribers, such as the Village Vibes e-mail news alert, do not require a full registration. Guests may subscribe or unsubscribe voluntarily to any of these newsletters by sending an e-mail request to the appropriate address. No other information is gathered on these subscribers.
4. What happens when you register?
When you have completed and submitted the online registration form, you will receive an e-mail message acknowledging that your registration has been received. Our coordinator will review the information you have provided and, if there are no apparent problems (eg. duplicate registration), will confirm your registration within 1 business day. You will be provided with your username and password at that time, and will then have access to any of our services.5. No third party can access your personal profile or site usage
When you register, you will receive a unique username and password, which are required for subsequent access to your personal profile and privileges. A secure password reminder service is available in case you need it. No information about individual guests or their usage of CharityVillage.com® content or services is available to any third party, not even to someone else in your own organization, unless you give them your username and password.6. Cookies make it simple
A cookie is a small data file that is written to your hard drive when you visit certain web sites. A cookie file can contain information such as a username and password that you have supplied. A cookie can not read other data off your hard drive or read cookie files created by other sites.Cookies make life easier for registered CharityVillage.com® users. On your first visit to Customer Service area after you register, CharityVillage.com® uses a cookie to store your username and password, making it unnecessary for you to log in every time you want to use a service IF YOU HAVE COOKIES ENABLED IN YOUR BROWSER. 7. Are there any situations where you might share your username and password with a colleague?
Normally, you would not share this information with anyone. It's best if all users of services in an organization register to obtain their own usernames and passwords. However, there may be exceptional situations where you may decide to "give the keys" to someone else. For example, if you are responsible for posting recruitment ads, and an unregistered user will be handling that temporarily while you're on vacation, you may decide to give them your username and password. Our system will assume that it is you posting ads and making changes, though. It's your decision [and you will be responsible for any errors that are made if you share your password.]8. How is security affected when computers and/or e-mail addresses are shared?
If you share a computer with another of our registered users, you can not take advantage of the Remember my Password feature without compromising the security of your account. Registered users who share a computer should leave the Remember my Password checkbox blank, and key in their respective individual username and password for each session.Users sharing an e-mail address may have separate accounts if each has his/her own user name and password. Of course all messages (order confirmations, alerts, etc.) sent by CharityVillage.com will go to this one address, so there will be a loss of confidentiality. In this situation, password security is compromised. It is possible for people sharing an e-mail address to obtain each others' passwords through our Password Reminder service and registration confirmation messages.
9. What information is shared with third parties?
No information about specific individuals is ever shared with, sold to, rented to, or made available in any way to any outside party.Composite information (which does not identify individuals) from online surveys, questionnaires, subscriber lists, and traffic reporting systems may be shared with our advertisers to assist them with creating and placing suitable advertising messages on our web site. An advertiser will never know that a specific guest viewed or clicked on their ad. Composite information may also be shared with our technology suppliers to assist with the evaluation and development of online services.
10. Correcting or Updating Your Personal Profile
You are responsible for ensuring that the information in your personal profile is accurate. You may check your profile, and change this information at any time and as often as necessary. For example, if you are a career ad poster who is moving to a new employer, you will need to change your information to prevent invoices from being sent to your previous employer. Also, CharityVillage.com® occasionally sends "Thank-You" gifts to frequent customers, and we want to ensure that yours gets to the correct postal address.11. Within the CharityVillage.com® team, who has access to user information?
Internal access to such information is on a strict need-to-know basis. Coordinators and Account Managers have access only to the information they need to serve you.12. How do you benefit from our automated information management systems?
With the explosive growth in users of our services, automated information management enables us to:
- Offer new and enhanced services
- Provide faster service by requiring less intervention by CharityVillage.com® team members
- Keep user fees low by slowing the growth of information management costs
- Provide you with access to useful information about your CharityVillage.com account
- Provide you with a high level of control over your various transactions and interactions with us.
